Every detail,
clearly handled.
What’s included, how booking works, and what to expect before and after your event.
What is included with every Icon?
A host, collection backdrop, custom photo design, setup and teardown, digital captures and a private gallery. Prints are included with every package. Your package states the service hours and gallery access period.
How do we choose the right package?
Our wedding recommendation is Pearl Luxe: four hours, 4×6 or 5×7 prints, Afterword Voice and a digital Signature Book. Lustre Keepsake is the shorter three-hour option with 4×6 prints. Opal suits a simpler setup; Heirloom is the statement installation. Tell us your guest count and schedule so we can recommend suitable coverage.
Does “unlimited” mean every guest is guaranteed a photo?
There is no per-session cap during your booked service hours. Participation depends on how many guests use the booth, the length of each session and your schedule. We recommend coverage based on your event rather than promise a fixed number of guests or prints.
When is our date reserved?
An inquiry or consultation does not reserve a date. We first confirm availability and send your proposal and agreement. Your date is reserved after the required agreement and payment are complete and we issue booking confirmation.
What is the payment schedule?
Book further ahead and less is due to hold your date: 15% when your event is 12+ months away, 25% at 6–12 months, 35% at 3–6 months and 50% under 3 months. The retainer (never more than 25%) holds your date; anything above it goes toward your balance and is refunded if you cancel. The balance is due 14 or 7 days before your event, whichever you choose when you sign, and we’ll email you a reminder. Booking inside that window, we’ll share your payment schedule before you commit. Corporate invoicing is specified in your proposal.
Are travel and tax included?
Niagara travel is included with every Icon. Pearl and Heirloom also include Hamilton, Burlington and the GTA; Opal adds $75 in those regions. Locations beyond that area, unusual access and any additional production are reviewed in your proposal. No HST is currently charged.
Does setup use our booked photo booth hours?
No. The published setup allowance is typically 45–60 minutes, separate from guest operating hours. We confirm access, ready time and collection with your venue. Tell us if setup must happen much earlier than service so we can include any additional requirements in your proposal.
How much space and power are needed?
A 10-by-10-foot area is ideal; Opal can fit in an 8-by-8-foot area. Plan for a standard 120V outlet within 25 feet. We confirm placement and access with your venue. Outdoor or unusual locations need a suitability review before booking.
Are you insured?
Yes. We carry $2,000,000 commercial general liability insurance. If your venue needs a certificate of insurance or wants to be named as an additional insured, tell us and we’ll arrange it.
How do we choose the backdrop and photo design?
After booking, tell us your colours, venue and style. We’ll help narrow down the collection and prepare the agreed photo design for approval. Your selections are requests until we confirm them for your date. Changes and final approval timing are recorded in your planning correspondence.
What if the venue’s internet is unreliable?
Tell us what connectivity is available. We confirm the sharing plan before the event; live sharing and online gallery updates depend on connectivity. Ask us to document the fallback arrangement in your proposal if instant delivery is essential.
When do we receive our keepsakes?
Pearl and Heirloom complete galleries are delivered by the next day. Afterword recordings are delivered within two weeks. Signature Book delivery timing is confirmed in your proposal. Download your files within the access period shown for your package; extended hosting should be agreed separately.
What exactly is Signature Book?
A digital keepsake pairing booth portraits with handwritten messages captured on an iPad. It includes a print-ready digital book and private viewing link. Physical printing is not assumed in the listed package: if you would like a printed copy, ask us to specify it in your proposal.
Can we change the date or cancel?
We offer one complimentary date transfer per booking with at least 30 days’ notice, subject to availability on your new date. The new date must be confirmed with us. Cancellation and payment terms are set out in the agreement you receive before booking. Contact us as soon as your plans change.
How are corporate events different?
Corporate proposals account for branding, operating hours, staffing, venue logistics, reporting and invoicing. Sharing a photo is separate from agreeing to marketing contact. The proposal records the consent approach, deliverables and any rights needed for your planned use.
Do we need to choose everything before inquiring?
No. Start with your date and venue or city. You can leave optional details blank and ask us for a recommendation. We’ll confirm the remaining decisions before your booking and design approvals.
